How to use a Righthand with FreshBooks

Review invoice readiness before sending
Righthand can help prepare a FreshBooks invoice-readiness worksheet for the billing owner. The useful result checks source references, customer identity, and recorded invoice state against the approved billing brief. It should not send or mark an invoice sent simply because its line items look complete.
FreshBooks' invoice reference explains invoice fields and the distinction between draft and sent states. Keep invoice identity, account context, currency, and available status representations. A draft's existence is different from the owner's decision to issue it.
Supply the billing source and schema
Give the account, invoice IDs or approved queue, customer mapping, contract or work reference, and review policy. For an illustrative monthly service invoice, include the approved billing period, line-item descriptions, and source amounts without asking the assistant to invent charges.
Inspect available FreshBooks tools through integrations. If invoice or client reads are absent, use an approved export or scoped browser review. Provider create and email operations are not proof of native availability or authorization. A readiness worksheet can be prepared through a read-only route.
A complete example brief
At 1 PM America/Los_Angeles on Thursday, review the approved FreshBooks draft-invoice queue against the supplied billing briefs. Return a private worksheet with account and invoice identity, customer reference, draft or sent state as supplied, billing period, currency, line-item source references, due date, and missing information. Do not create, send, mark sent, or record payments. Deliver to me for billing-owner review. Reconcile invoice counts and compare amounts only within their correct currency and source convention.
The example is illustrative. The billing owner or accountant decides invoice treatment, tax questions, and any adjustment. The assistant should identify discrepancies without resolving them through guessed financial rules.
Define the expected readiness result
An example entry could say: “Draft invoice; billing period differs from the approved brief; customer reference matches; owner must correct or confirm the period before issue.” The assistant should not change the period or duplicate the invoice to make a fresh copy.
A sent marker is different from observed delivery to the intended customer. Preserve the communication source separately if available. Multiple invoices for the same customer can represent different periods, so do not merge them solely by name.
Reconcile changes and repeat reviews
Match invoice IDs across runs, refresh status and line items, and update the existing worksheet entry. If the owner changes the billing brief, record which source now governs the proposal. A stale export should remain labeled with its snapshot time.
Permissions, omitted line-item detail, and partial pagination can limit readiness conclusions. State those gaps. If supported sending or updates are later authorized, retrieve the resulting invoice and communication records independently and confirm the exact customer association.
